Email is the obvious AI use case until you realize most email value comes from what AI can’t provide: relationship understanding and genuine human connection.


The Email Automation Temptation

AI promises to reclaim that time. Draft emails instantly. Respond to messages in seconds. Process inboxes automatically.

The promise is real for some email types. But the application creates risk for others.

Email isn’t just information transfer. It’s relationship maintenance. It signals attention, care, and priority. When AI handles email poorly, the damage isn’t just wrong information, it’s damaged relationships.

The question isn’t whether AI can write emails. It’s which emails AI should write.

Standard responses to common questions. FAQ-type inquiries. How-to questions with documented answers. Policy clarifications. When the question has a known answer, AI retrieval and formatting saves time without sacrificing quality.

The key: the answer exists independently of the relationship. Someone asking “What are your business hours?” wants accurate information, not personal connection.

High-volume outreach where personalization isn’t feasible. Some outreach necessarily operates at scale. Event invitations. Newsletter content. Broadcast updates. AI helps produce this content faster.

The honest tradeoff: volume-based outreach has lower per-message effectiveness than personalized outreach regardless of AI involvement. AI makes volume easier without changing that fundamental dynamic.

Internal coordination messages. Meeting scheduling. Project status updates. Resource requests. Routine internal communication often follows predictable patterns. AI assistance speeds production without relationship concerns, as colleagues evaluate content, not style.


Categories Requiring Human Writing

Some email must come from humans to serve its purpose:

Responses to complaints or concerns. When someone is unhappy, they need to feel heard. AI responses to emotional communications feel dismissive even when technically appropriate.

Complaint response requires: acknowledgment of specific concerns, evidence of understanding the individual situation, human judgment about appropriate remedies. AI can draft; humans must personalize and send.

The email’s content was probably fine. The words expressed appropriate sympathy. But the revelation that a grief message had been outsourced to AI transformed adequate words into an institutional failure.

The lesson: For communications requiring genuine empathy, AI assistance (even for drafting) creates risk that extends beyond the words themselves. The act of personal composition is part of the message. Outsourcing that act, even partially, can undermine the entire purpose.


The Draft-Edit Hybrid

Relationship-appropriate tone. Formal with new contacts. Casual with established relationships. Warm with friends. The tone must match the actual relationship, not a generic standard.

AI can adjust tone on instruction. The human must provide correct instruction based on relationship knowledge.

AI enables sending more emails. More isn’t always better.
